Foxbyte Systems Ltd uses information supplied through this website to respond to enquiries, provide requested support and administer agreed services. This notice describes the website systems currently enabled. Updated 8 September 2026.

Contact sales@foxbyte-systems.com or +254 710 660 066 with a privacy question. Please describe the request without sending passwords, one-time codes, payment secrets, recovery keys or confidential files. We may need proportionate identity checks before releasing or changing a record.
Your enquiry and your choices
We ask for your name, a reply contact, selected service and a short request so we can respond. The privacy acknowledgement records that this handling has been explained; it does not subscribe you to marketing. Optional analytics and external AI processing use separate choices. Reject or withdraw those choices through “Cookie & AI choices”; ordinary website browsing and human contact remain available.
A website reference confirms local storage. It does not establish email delivery, acceptance of a contract, a confirmed appointment or a payment. Where email notification is unavailable, staff review the private enquiry queue. Do not rely on an online submission for emergency assistance.
How these website systems use information
Intake
Name, reply contact, selected service/topic, short request, notice acknowledgement, optional business context and opaque reference. Handle the requested enquiry/support and transactional acknowledgement; no marketing subscription. Existing private T12 tables; queue owner or administrator access. capture Existing working rules: synthetic test records after 7 days; closed support after 90 days; eligible unconverted enquiries after 180 days; legal holds and won work retained for review. Automatic erasure is enabled.
Commerce
Authorized account/contact, order, contract, brief, access proof and payment-state records. Project access, agreed work, payment reconciliation and readiness. Existing Woo and Foxbyte private stores; access and verified-deposit gates retained. Public checkout remains held. Existing payment verification/provider configuration is owned by T14; this module does not send payment data. Financial and active-contract records require the owner’s approved retention schedule; no automatic erasure added. Existing Woo privacy settings and export/erase tools retain control.
Analytics
Allowed event names and route/service/tier/form IDs; no form text, question text, contact, raw referrer, query strings, order IDs or payment values. Consented navigation and enquiry measurement. Browser memory; seven-day keyed receipt-claim records prevent repeat conversion forwarding. No analytics provider forwarding in the current mode (off). Receipt claim keys expire after seven days and are removed by daily housekeeping; Google property retention must be recorded by the owner. Debug events stay in current browser memory.
Ai
A short general question, approved public Foxbyte facts and up to three previous approved answer IDs; no account access and no visitor transcript history. Select relevant approved answers; assist service discovery. No question or transcript persistence by this component; browser conversation and approved answer IDs clear on reload or Clear chat; closing and reopening the drawer in the same page retains them. Only after AI consent: OpenAI, L.L.C.; processing region: Global — no dedicated data-residency region configured; provider retention: API data is not used for training unless explicitly opted in. Abuse-monitoring logs may be retained for up to 30 days; Chat Completions stores no application state, subject to documented exceptions. Provider retention is separate from Foxbyte’s no-transcript-storage behavior. Foxbyte retains at most 20 provider diagnostic metadata entries (HTTP status, error classification and request ID), accessible only to administrators and expiring after 24 hours. No question, transcript, key or response body is included. Hosting/proxy diagnostics must also be configured not to log request bodies.
Fixed selected topic and short reviewed generic summary; no transcript or customer secrets in the link. Visitor-initiated human contact. No message delivery record is created by clicking a link. WhatsApp/Meta receives the visitor after they choose Continue on WhatsApp; its service policies apply. The visitor and recipient conversation is separate; retained human case information follows the approved support policy.
Security
Keyed rate buckets, security session token, signed optional-processing choices; host may separately record request metadata. Abuse prevention, CSRF protection and consent enforcement. Rate buckets in T12; signed choices in a secure first-party cookie; no question/body diagnostic log added. No CAPTCHA, advertising SDK or chat embed added Expired rate buckets are cleaned by T12 housekeeping. Choice cookie 180 days; systems security cookie 2 hours. Hosting log retention requires owner/provider confirmation.
For access, correction or erasure requests, contact sales@foxbyte-systems.com. Identity verification and applicable record-retention duties govern the response. Existing WordPress privacy tools, T12 and Journey exporters/erasers remain in use. This technical information does not claim legal certification.
Your information rights
You can ask about access, correction, objection or deletion of your personal information, subject to applicable requirements and retention duties. You can withdraw optional-processing consent without changing earlier lawful processing. We restrict private enquiry and project records to authorised staff. External WhatsApp conversations, hosting services and any separately configured mail, payment or analytics provider have their own processing arrangements. Provider location, diagnostic-log retention and financial-record retention must be confirmed for the service concerned; this notice does not promise a location or deletion period that has not been established.
