Avoid specification drift
A quotation should identify what may change and who must approve it. “Equivalent model” can conceal differences in screen quality, memory expandability, ports, battery condition or warranty. Do not authorise substitutions on price alone.
A practical acceptance record
Record the delivered serial numbers, invoice reference, warranty documentation, visible condition and the outcome of agreed power-on or application checks. Keep an inventory owner so equipment can be supported and reassigned later.

- The work each user or device needs to perform.
- Any required application, brand compatibility or organisational standard.
- The delivery location and any access or setup constraints.
- Your budget range and required date.
- Whether migration, configuration or disposal needs separate consideration.
Do not include account passwords, licence keys or confidential documents in the first message. Access arrangements can be agreed through the appropriate channel once scope is clear.
Buying and configuration questions
Can you guarantee a specific model is in stock?
Stock and lead times are confirmed in the quotation. A website enquiry does not reserve equipment or guarantee current availability.
Do you supply only new equipment?
The condition must be stated for each quoted item. Review refurbished or used equipment against warranty, battery and workload needs before approving it.
Are you an authorised reseller for every brand?
No blanket partner or reseller status is claimed here. Ask for the specific supply and warranty evidence relevant to the proposed item.
Is installation included in supply?
Only where the written scope includes it. Delivery, configuration, migration and ongoing support should be separately identifiable.
