How to check returned files after data recovery

Foxbyte InsightsPublished Updated

Data recovery begins by preserving affected storage, followed by assessment and verification of returned files.

Verify recovered files by whether the important information opens and supports the required work. A folder list or large file count is not enough to establish a useful recovery.

Define priority before the recovery attempt

Tell the assessor which folders, file types or business records matter most. You can describe the categories without sending the private contents in the first enquiry. A clear priority helps define what a useful result would look like.

Keep the original media and recovered output distinct. Agree a separate destination with suitable capacity and a controlled recipient. Do not save recovered files back onto the affected storage as part of a casual check.

Use a representative verification set

  • Open important documents and check representative content.
  • Inspect selected images or media beyond their filenames.
  • Check expected date ranges and folder structure.
  • For archives or databases, use the appropriate authorised validation method.
  • Record corrupt, incomplete or missing items.
  • Confirm the intended person can access the returned material.

Choose evidence that matches the data

Data typeUseful check
Office documentsOpen representative files and inspect meaningful content.
Photos or mediaCheck selected files across dates and folders for usable content.
Structured exportsCheck records and fields against known expectations.
Application dataHave an authorised specialist verify the required application behaviour.
Mixed recoveryIdentify known gaps and prioritise what must be examined first.

Do not turn sampling into a guarantee

A sample can reveal corruption and provide useful confidence, but it does not prove every byte of every file is intact. Record which items were checked and which remain unverified. Avoid describing a partially inspected result as a complete forensic validation.

If an application needs a consistent database and configuration, opening a few files may not establish that it can resume work. Involve the appropriate application owner and keep any restoration test separate from working production data unless explicitly authorised.

Close the handling and next-step decisions

Confirm return or handling of the original media, the agreed treatment of recovery copies and the support route for a discovered issue. Those terms should be explicit; do not assume an unstated retention or disposal policy.

Once the required data is available, create a backup plan and test an appropriate restore. Keep the recovery report and limitations with the data owner. The strongest outcome is both a useful returned set and a clearer route for protecting the next copy.

Put the decision into practice

Agree the priority data and verification method as part of the recovery scope.
